ELAN (English Language Arts Network) is a non-profit organization devoted to helping Quebec's English-language artists connect with one another, with their francophone colleagues, and with audiences in Quebec, Canada, and internationally. Our members include artists and organizations representing many artistic disciplines and regions of Quebec. Job Description
This position will provide valuable experience for candidates considering a career in arts and cultural administration, marketing, and communications, especially in the not-for-profit sector.
With the day to day supervision of the Membership Services Coordinator and additional guidance from the Program Manager, the Membership Assistant will help ELAN staff optimize our membership database; prepare for implementation of our new pay-what-you-can (PWYC) membership fee structure; and improve services and outreach to priority groups identified in ELAN’s Inclusion Plan.

The Membership Assistant will have the following duties:
● Membership database optimization
- ensure smooth user experience of member sign-up, account management, and renewal processes;
- identify data analysis procedures to be integrated into internal workflows and decision-making, including tracking engagement among inclusion priority groups and delivering monthly statistical reports at staff meetings;
- develop external communications materials to assist members in using the database

● Ongoing marketing and membership outreach campaigns
- promote special events and projects, including the PYWC initiative;
- encourage attendance at our Annual General Meeting in August 2018;
- prepare membership-related content for ELAN’s digital communications (social media, blog, website, monthly email newsletter)

● Member communications
- Communicate with current, new, and renewing members, principally in English, to ensure they understand and are able to use the benefits and services available to them through ELAN, and to promote and educate on the database and PWYC initiative
- Follow up with recently lapsed and inactive members to invite feedback and/or renewal

● PWYC Initiative
- Support ELAN staff in the implementation of PWYC initiative through developing internal infrastructure and external communications
- Assist ELAN staff in researching and implementing improvements to ELAN’s membership services, and preparing for changes in demand

● Inclusion
- Assist ELAN staff and Inclusion Committee to implement outreach strategies as identified in ELAN’s Inclusion Plan
- Assist with membership recruitment, engagement, and retention strategies based on priorities of inclusion and accessibility

Eligible Candidates
This position is funded by the Government of Canada through Young Canada Works (YCW) in Both Official Languages. You must meet program criteria to be eligible for this position.
You are eligible if you:
· are a Canadian citizen or a permanent resident, or have refugee status in Canada (non-Canadians holding temporary work visas or awaiting permanent status are not eligible);
· are legally entitled to work in Canada;
· will be between 16 and 30 years of age at the start of employment;
· are willing to commit to the full duration of the work assignment;
· will not have another full-time job (over 30 hours a week) during the Young Canada Works (YCW) work assignment;
· have been a full-time high school, college, CEGEP or university student (as defined by their educational institution) in the Winter 2018 semester;
· intend to return to full-time studies in the Fall 2018 semester;
· have a working knowledge of both English and French

Necessary Qualifications
Candidate should be pursuing a post-secondary university, CEGEP or college degree in arts and cultural management, arts administration, general or fine arts, communications, social sciences, marketing, or business
Intermediate to excellent spoken and written English, and a working knowledge of French
Excellent interpersonal communication skills (to be used internally with colleagues and externally with members) and teamwork skills
Good organizational skills e.g. task prioritization, attention to detail in written work and
Resourceful, with creative problem-solving skills, and the capacity to work autonomously
Familiarity with Microsoft Office suite (Excel, Word) and email

Desired Qualifications
Knowledge of Mailchimp, WordPress, and/or databases/CRM (customer relations management) platforms
Experience with data analysis
Experience with membership outreach and development in the non-profit sector
Knowledge of or proven interest in arts and culture or Quebec communities
Experience or deep understanding of challenges facing artists who experience marginalization

Unfortunately ELAN is not located in a fully accessible building. There is a wide doorway at the front entrance, and five steps in the lobby leading to the elevators.
