The Doris McCarthy Gallery, University of Toronto Scarborough seeks an Administrative & Exhibitions Assistant for a 35-week contract to take place from August 14, 2017 – February 9, 2018. Reporting to the DMG Gallery Assistant, the incumbent will gain supervisory, leadership, communication, and organizational skills through this multi-faceted role.

The candidate will be responsible for monitoring the gallery and overseeing the scheduling of Work-study students. The role includes opportunities to learn about exhibitions research, art handling and registrarial activities, as well as the development of educational programming and marketing strategies.

The Administrative & Exhibitions Assistant will be responsible for opening, monitoring and closing the gallery during public hours, interacting with gallery visitors, providing information about exhibitions and events, and responding to inquiries. Assisting with administrative tasks includes: preparing backups for reconciliation, preparing invoices for payment, and filing.

The Administrative & Exhibitions Assistant will oversee a team of Work-study positions, and will create weekly schedules, track and verify hours, prepare time sheets, schedule breaks, create weekly student news letter, manage student projects and providing instructions and training.

The Administrative & Exhibitions Assistant will oversee Work-study research and creation of educational materials for each exhibition. The Administrative & Exhibitions Assistant will assist with the coordination of exhibitions, events and programming, and will be responsible for working gallery events, including: opening receptions, artist talks, tours, workshops and performances.

The Administrative & Exhibitions Assistant will assist with the planning, coordination and promotion of temporary exhibitions and accompanying programming.

Candidates with previous experience working with art galleries and artworks will be given priority. Excellent interpersonal and research skills are required. Candidates who demonstrate attention to detail will be considered better suited to working in this environment. Candidates should be resourceful, show initiative and feel comfortable working independently.

Rate of pay is $15 / hr. Candidates must be available to work 36.25 hours / week, Monday to Friday, 9 am to 5 pm. Additional evening and weekend work will occasionally be required. Candidate must be a recent graduate of a post secondary institution.
